Reprographics

The following information on our comprehensive reprographic services, costs and procedures, provides general guidance. If you need further information, please discuss your requirement with us.

Applying for copies

Copies are made at our discretion, and will be supplied in the form of a microform printout wherever possible. If the material you require is not on microfilm/fiche, we can supply a photocopy (if items are suitable for photocopying), or we may be able to offer a digital image. We will advise you if we are unable to process your order, or to fulfill some element(s) of it.

Orders will usually be completed within 15 working days. Large orders, those of a more complex nature, or requests for publication may take longer.

To submit a request for research or private study, please return a signed and completed reprographics order form for private study (PDF - 69KB) either as a scanned email attachment or by post. If you wish to publish an image, please complete a reprographics order form for publication (PDF - 88KB).  

If you order is for copies from archive or manuscript material, you will also need to complete a copy of our application for access to archives and manuscripts (PDF - 56KB). If you have not previously returned one of these forms, please submit a completed copy of the form with your reprographics order.

Charges for copies (research or private study only)

All orders will incur an additional £5 handling fee (excluding orders of up to ten photocopies of material viewed and requested in the reading room).

VAT: All students and overseas postal orders received from countries outside the EU are exempt from paying VAT. If you are an institution within the EU and you are a 'VAT registered body in the EU', please let us know. 

If you cancel your order after our reprographics team have begun to process it, we reserve the right to charge a cancellation fee.

Digital images

Digital images are supplied as a Jpg (100 DPI) sent by email if the total order is less than 10MB, or on a CD/DVD by post if over 10MB.

Payment for all reprographics charges

Once your order has been completed we will send you an invoice requesting payment. This will give details of how payment can be made (by cash or cheque, or debit/credit card using our online payment system). Payment from overseas can be made by sterling cheque or bank transfer. Your requested copies will be dispatched on receipt of payment.

Policy on use of readers' cameras

Readers are welcome to bring their own hand held digital cameras if they can be used without flash. Tripods are not permitted. Please be aware that some items may not be suitable or available for copying due to a variety of factors, including their physical condition and copyright legislation. You will need to complete a permission form on the day, which will have to include a list of images taken. This service is free of charge.

Scanning

The use of hand held scanners is not permitted.

 

Publishing

If you would like to publish any of our materials (including images on our website), please complete our reprographics form for publication (PDF - 88KB). We consider all requests and a publication fee will be charged on an individual basis.

 

Acknowledging our images

Acknowledgement for the use of images should be made to 'Cadbury Research Library: Special Collections, University of Birmingham', and the full reference of the document(s) should be given.
