Birmingham Surgical Trials Consortium (BiSTC) REDCap privacy notice

This privacy notice provides information about how the University uses the personal data we collect when you 

  • take part in a project that requires you to login and access the BiSTC REDCap database as a User, Account Manager, or Administrator
  • complete our research surveys

It supplements the page on our website 'Data Protection - How the University Uses Your Data'.

What personal data will be processed?

We process the following personal data when you complete our surveys or when you are set up as a User, Account Manager, or Administrator

  • If you are set up as a User, Account Manager, or Administrator, you will provide, as a minimum - name, email address, and name of the organisation where you work
  • If you are completing a survey on REDCap you may also be asked for additional information such as title, city/town where you work, country, level of training, operative experience, treatment management, gender, age or ORCiD digital identifier.

What is the purpose of the processing?

The University will process your personal data so that we can

  • Enable you to log in and access the BiSTC REDCap database so that you can take part in a project
  • Enable Account Managers or Administrators, to manage functions in BiSTC REDCap such as assigning users to projects
  • Use the information you provide when you complete our surveys for research
  • Contact you for additional information to support our research

What is the legal basis of the processing?

We consider the processing of your personal data is necessary for the performance of research which is a task in the public interest.

Who will your personal data be shared with?

A group of 'Administrators' within the University have full access to your personal data. The personal data used to create your login can also be viewed by 'Account Managers' of BiSTC REDCap. Some 'Account Managers' may not be employed by the University.

In addition, your REDCap user name will be visible to other users allocated to the same projects as you.

When you complete one of our surveys, your personal data will be shared with our partners at other universities, hospitals, research collaboratives, or professional institutions such as the West Midlands Research Collaborative, NIHR Global Health Research Unit on Global Surgery, HaemSTAR, GEM Research Collaborative, the European Society of Coloproctology, WM TRAIN, the PROPHER, DAMASCUS and CovidCollab study groups, the Roux Group, EuroSurg and the Congenital Heart Disease Priority Setting Partnership.

In addition if you take part in a study as a collaborator your name and contact details may be shared with other collaborators working on the same project.

How long is your data kept?

Your login information will be removed from the database when the project you are allocated to is deleted.

Information collected as part of a survey will be kept for as long as it is useful for that project.

Are changes made to this webpage?

This privacy notice is effective from 17th June 2021. It is reviewed when necessary and at least annually. Any changes will be notified by email or as appropriate.
