How IMSR manages your data

This page is for participants who register for the IMSR Seminar Series via Zoom. It provides information about how the data that is captured as part of these seminars is managed.

By registering for this event, you agree that the University of Birmingham will process your data in line with the University of Birmingham Data Protection Policy. Please see the Zoom Privacy Statement for more information on how Zoom uses your data.

Zoom recordings

The below text only applies to online seminars when the speaker gives permission for their talk to be recorded.

We are often asked whether Zoom events can be recorded so that those that miss them have opportunity to watch them at a later time. Recordings are always made at the discretion of the speaker(s). They decide if their talk(s) can be recorded and who the recordings can be shared with. If recordings are available publicly you can request the recording by emailing imsr@contacts.bham.ac.uk. Recordings will be kept on Zoom and on UoB files and systems for a maximum of 1 month after the event. After 1 month, the recordings will be deleted on Zoom and on any UoB files and systems they have been downloaded to. By registering for IMSR Zoom events you are consenting to potentially being recorded and it is your responsibility to ensure your audio/video is switched off and you have the option to edit your name on Zoom e.g. ‘John Smith’ or ‘Jane Doe’ – offensive names will be removed from the event. Based on audience feedback, we have taken the decision to not record the Q&A session after each talk.

Unless otherwise stated, we will always assume slides should not be shared and that any requests for slides should be directed to the speaker. This is due to some slides having pre-publication data on them.

IMSR mailing list

Our mailing list is used to notify you of future IMSR public events and opportunities. It is optional to sign up and you can unsubscribe any time by emailing imsr@contacts.bham.ac.uk (please allow for 10 working days response time). If you are an IMSR member of staff or student, please note that notifications of these events will already be circulated through the normal internal channels e.g. the weekly Newsblast newsletter – therefore there is no additional need to sign up to this separate mailing list.

Gender & Ethnicity questions - why are we collecting this data?

The IMSR takes a proactive approach towards Equality, Diversity and Inclusion (EDI). For this reason, we collect EDI information about those registering for our events, so that we can better understand who our events appeal to. This also helps us identify gaps in our audience, which can be useful in helping us programme our future content to have more diverse appeal. Your provision of EDI information is therefore helpful to us, but it is always optional.

Our motivations are aimed towards proactivity being more inclusive and accessible. We will keep this raw data for up to 1 year before deleting it from the University’s files and systems, during which time we will pull all relevant data from event attendees into anonymized data sets which may be used to feed into internal as well external processes such as Athena Swan and Diversity charters submissions.

No single individuals will be identified when reporting to external organisations. Once anonymized and sent to an external organisation it will not be possible to delete an individual person’s data from the pool, as we will have no identifying information that would enable us to do this. Responsibility for the data rests with the IMSR Events Committee.

Data held on Zoom

Any registration data, including Zoom recordings and data relating to gender and ethnicity, will be deleted on Zoom 1 month after the online event.
