Use of cameras in the reading room
Researchers may bring a hand-held camera to take images in the reading room to create images for private study purposes only. Flash, tripods and scanners are not permitted. Some items may not be suitable for copying due to conservation restrictions and copyright legislation; readers should check with the member of staff on duty. There is no charge for taking images with your own camera for private study purposes.
Applying for copies of Special Collections material
Researchers can request copies of Special Collections material for private study or publication, exhibition and sharing, by completing one of our reprographics forms below. Please read all the information on this page before submitting your application to familiarise yourself with our procedures and charges.
Requests for copies of material are granted at our discretion and may be subject to restrictions including copyright legislation, conservation constraints or other conditions (e.g. closed files).
Orders are completed within 15 working days. Requests for publication may take longer.
Please do not send payment with your order. You will receive an invoice setting out the charges and payment details after your copies have been made. Your copies will be issued to you on receipt of payment.
Charges for images for private study
- £8 handling fee applies to all orders
- £1 per image/page (PDF or JPEG available)
- Where possible we will send your images free of charge by email or web transfer
- £1 additional charge for images supplied on CD
- Paper print outs supplied at £1.30 per image plus postage
- Orders totalling £50 or more will be subject to a £25 deposit plus 20% VAT (where applicable) before work is started. When you submit your reprographics form we will email you a link to make your deposit payment. The deposit will be deducted from your final invoice.
- Once an order has been placed it cannot be cancelled and the full fee applies.
All students and orders received from countries outside the EU are exempt from paying VAT. If you are applying on behalf of an institution within the EU and are a 'VAT registered body in the EU' please state this on your reprographics form. All other orders are subject to VAT charged at 20%.

Charges for images for publication, exhibition and sharing
Images supplied for publication, exhibition, or any form of sharing, are subject to the charges outlined above, and may incur an additional publication useage charge. Publication usage charges are decided on a case by case basis and if an additional charge is applied we will inform you of the amount before we start work on your order.
Requesting images for publication, exhibition and sharing
Requests for images for publicaton, exhibition, or any other form of sharing (including social media) are reviewed and granted at the discretion of the Director of Special Collections. Images must be credited 'Cadbury Research Library, University of Birmingham', and the full reference of the document given.
