Filming and photography privacy notice

This privacy notice provides information about how the University uses your personal information when you attend an event organised by the University of Birmingham.

It supplements the page on our website ‘Your Privacy: Data Protection – How the University Uses Your Data’.

It is important that the personal information we hold about you is accurate and current. Please keep your personal information updated during your relationship with us.

How does this privacy notice relate to other privacy notices?

This privacy notice explains how we use your personal data contained within photographs and video recordings taken by the University. Occasionally, photographs and recordings may be taken of attendees at University events. The processing of personal data relating to attendees is covered in our Event attendee privacy notice.

What is the purpose of processing?

The University will process your personal data for the following purposes:

  • For marketing material related to the research, teaching, and promotion of the University of Birmingham.
  • Photographs and video may be published online, in print, used in promotional materials at events or in advertising and broadcast.
  • We may share personal information with partner organisations where they are using data for compatible purposes.
  • Where applicable, contact details will be used to keep a record of the consent (where this is the lawful basis), and to facilitate any rights requests, including the right to erasure.

What is the legal basis of the processing?

It is in the University's legitimate interest to process your personal data for the above purposes.

When taking close up photographs, recordings or conducting interviews with individuals or small groups of individuals, the University will seek your consent to process the personal for the purposes set out above. You can withdraw you consent at any time.

Who will your personal data be shared with?

Within the University, your data is shared only with those University departments and staff who need access for the processing purposes set out above.

How long is your data kept?

Image data may be retained in perpetuity as historical and archival records of the University of Birmingham. Where image data is determined to be not appropriate for these purposes, it will be securely destroyed.
