Online Registration

You will be asked to check the personal details you provided via your application and to add some additional details. This will include:

• Name and date of birth
• Email address and mobile phone number
• Home address
• Term-time address (whether the same or different to your home address)
• Ethnicity, nationality, and residence at time of admission (if not already provided)

You will not be able to change your name or date of birth in Online Registration, but will need to contact us instead. If these are incorrect, you will need to provide documentary evidence such as a passport, birth certificate, deed poll, or marriage/divorce certificate. Please note:

• For international students, the name you register must match your passport and visa details.
• If you have a student loan via Student Finance England (or equivalent), please make your name matches to avoid any delays or errors.
• Transgender students seeking to update their name can provide a deed poll, Statutory Declaration, or Gender Recognition Certificate.

You will need to contact us if you need to update your nationality, ethnicity, or residence at time of admission and provide suitable evidence.

You can update other information (such as your contact details) throughout your studies using My Details.

Declaring a disability

Online Registration will ask you whether you have a disability or long-term condition, and whether you will be receiving Disabled Students' Allowance (DSA).

We encourage you to tell us about any disability you have, including dyslexia, mental health, and other health conditions. You can do this on the Personal Details section of Online Registration or by contacting the Student Disability Service.

If your tuition fees are being paid by Student Finance England (or equivalent), you will need to provide your Student Support Number (SSN). This is your unique identifier which helps us confirm your attendance and match your tuition fees to your account.

It usually consists of four letters and eight numbers and another letter (e.g. BRMM01234567A).

It is quoted on most documents they will send you, sometimes under a barcode on the top of the letter. You can also usually find it by logging into your student finance account.

If you cannot find your Student Support Number, you will need to contact your relevant student finance organisation (e.g. Student Finance England/Wales/Northern Ireland or Student Awards Agency Scotland) to find out what it is.

If you are self-funding or your fees are being paid by a sponsor, you don't need to provide an SSN.

If you are being financially sponsored, you will need to provide the details of the sponsor. 

A financial sponsor is an organisation that has agreed to part or all of your tuition fee. This might be a healthcare body, business, charity, or other organisation.

This does not include having your tuition fees paid by relatives, friends, or bank loans. In these situations, you are considered 'self-funding'.

Once you have provided your sponsor's details in Online Registration, we will send them an invoice. Your tuition fees remain your personal responsibility until they are paid by your sponsor.

If you cannot enter your sponsor's details when completing Online Registration, or need to make a change, please complete the Financial Sponsor details form and these will be manually updated on your record.

You need to upload a high quality passport-style photograph showing your head and shoulders against a pale background. This can be a photo you have taken yourself. It will need to be a .jpg or JPEG file that is no larger than 1MB.

The photo should:

• Be a recent, colour photo that shows your full face and is a true likeness.
• Only show you - no other people or animals.
• Be a headshot-style photo against a pale, neutral background; your head and shoulders should take up at least 80% of the photograph.
• Be the original image. Do not use any filters or edit the image using AI (including 'tidying up' or editing the background).

You should also:

• Make sure to avoid glare if you wear glasses - your eyes should be clearly visible.
• Use a photo which is suitable for your ID card; nothing obscene or inappropriate.
• Use an image you own which is not copyrighted.
• Check our advice for students who wear a face veil (Niqab), if applicable.

Your image will be checked once submitted. If the image you have provided is not appropriate or does not meet the guidelines, your ID card will be withheld and you will you may be required to pay for a replacement (£10). We will contact you if you need to re-submit an image.

Every student is required to provide an emergency contact. You can choose to provide a second emergency contact too. This should usually be:

• Parent/step-parent/guardian
• Partner
• Sibling or child (aged 18 or over)

We will only use this information in an emergency. This could be a serious injury, a serious mental health crisis, or a risk of suicide. Wherever possible, we will ask for your consent to contact them - it would only be in the most serious circumstances that we would contact them directly without getting your permission first. Serious circumstances could mean that you are not physically able to give permission, are not in a position to give informed consent, or where it is considered 'vital interests'.

We take these decisions seriously and only use emergency contacts where there is good and urgent cause to do so.

You can update your emergency contacts at any time using My Details.

It is your responsibility to ensure that the data the University holds about you is up-to-date and accurate. You can return to Online Registration at any time during the year to update your data.

You will be asked to demonstrate that you have the right to study in the UK. All students who will be based in the UK (including students from the UK) for all or part of their studies must provide evidence of this.

Once you have completed Online Registration, the documents you have uploaded will be reviewed. You will be considered fully registered when we are satisfied that you have submitted the necessary documents and information.

International students must complete a Right to Study check. Through the Right to Study check you must provide conclusive proof that you hold the appropriate visa or immigration permission (including your Biometric Residence Permit, if applicable). You will not be allowed to start your studies until you have done so.

We encourage you to disclose any disability as defined by the Equality Act 2010 (including dyslexia, mental health and other long term health conditions) at the earliest opportunity. We would also encourage you to register with the Student Disability Service to ensure that appropriate support is put in place for you in good time.

Please be aware that if you choose not to disclose your disability or to limit that disclosure you may not be able to access the full range of support available.

When you register with the Student Disability Service, you will be asked to provide consent for your information to be shared with relevant staff at the University and external agencies (where necessary). The University is keen to ensure disabled students are treated with respect and our professional services will deal with your personal information confidentially and sensitively. If you do not wish to disclose your disability as part of Online Registration, you can choose to disclose at any point during your studies by contacting the Student Disability Service directly.

Please take time to complete the questions in Online Registration on your ethnicity/race, gender, age, sexual orientation, religion and belief, disabilities and caring responsibilities. This information is used to assist us to develop and maintain an inclusive, equitable and responsive student experience. This request for information is in compliance with our duties under the Equality Act 2010.

Upon registering at the University, you agree to become a member of the Guild of Students unless you chose to opt out. The Guild would like to communicate with you via your University email and via The Guild's website about your membership of the Guild (e.g. to provide notice of general meetings, referenda and election of officers. The Guild may also send you marketing materials that they consider may be of interest to you. The Guild will ask you for your consent to receiving these electronically, when you register at the Guild website.

Careers Network, your careers service at the University, provides students with tailored advice on how to begin making the most of the opportunities on offer whilst studying at the University including: how to start with career planning, finding relevant work experience, meeting with our extensive network of employers, as well as support for the application and interview process ready to secure your chosen career. The University's updated Legislation comes into effect each year on 1st August. If you are a re-registering student you should note that you will be covered by the University Legislation (including Codes of Practice) for 2013/14 until the date on which your programme of study for the 2014/15 session commences, or 1st August 2014, whichever is the sooner. From that date you will be covered by the Legislation for the 2014/15 session.

I agree to the University of Birmingham processing my personal data obtained as part of Online Registration, or other data that the University may obtain from me or other sources. I agree to the processing of such data for any purposes connected with my studies, my health and safety, or for any other legitimate reason and to the publication of my degree classification at the end of my studies. I understand that these data will be stored in manual and electronic files and is subject to the Data Protection Act and will be used for statutory reporting including the Higher Education Statistical Agency (HESA). I understand that my University email address (ending @bham.ac.uk) will be listed in the University's Email Directory which is made available to all students and staff.

I understand that my academic data may be disclosed to organisations acting as my sponsor. I understand my assessments may be shared with Northumbria Learning as part of the University's requirement to maintain academic integrity.

Neither the student nor the University shall be liable to each other for failure or delay in performing obligations if failure is due to any cause beyond that party's control e.g. war, national emergency, terrorism, acts of God, government restrictions industrial action or unforeseen closure of the University.

In accordance with the requirements of S22(3) Education Act 1994 the University have issued a Student Code of Practice.
