Your arrival guide: moving into student accommodation

The main Arrivals Weekend for Student Accommodation is Friday 18 – Sunday 20 September 2026. For specific information about when you can move into your accommodation, please select from the building options below in the 'Getting Here' section. Here you will find all the information you need to know, from when to arrive, how to ‘check-in’ to your new room, what to do once you have moved in, travel information and much more!

What do you need to do before arriving?

1. Complete your Accommodation Pass

Make sure to complete your Accommodation Pass by Thursday 17 September, if you haven’t already. This is an essential part of your university induction; you can only book an arrivals timeslot once you’ve completed it, which is needed for you to move in.  

2. Book your arrival timeslot

Once you have completed your Accommodation Pass, you will be able to book your arrival timeslot. This is the time when you are expected to arrive at your accommodation. We encourage you to stick to this timeslot as much as possible, as it allows us to manage the traffic across the villages and ensures you get the best welcome experience possible. For more information, see ‘Getting Here’ below.

3. Start getting ready

Visit our  Contracts, inventories and facilities  page to see what is already included in your room. If an item isn’t listed, you will need to bring it with you. Check out our  What to pack page  for more information.

There are plenty of shops in the local area, so you’ll never be short of supplies; you don’t need to bring all your belongings with you, especially if you are travelling from overseas.

We’ve also teamed up with UniKitOut to ensure you have all your essentials ready for when you arrive at the accommodation. So long as you place your order by midday (12:00 BST) on Monday 14 September 2026 and provide the team with your accommodation address (as displayed on your contract), your items will be delivered straight to your room ahead of your arrival!

Please note: If you purchase these items after this date and time, these items will be delivered directly to your flat once you have arrived and checked in via standard post or courier.

You will have 30 minutes (your booked timeslot) to unpack your bags with help from our friendly Resident Life and Welcome Teams.  You will then be directed to park in a long-stay carpark elsewhere on campus, depending on where you have moved into. Shuttle buses will be running to take visitors between carparks and accommodation villages (details to be confirmed on the day). Please note, you are only permitted to register one vehicle and therefore, additional vehicles will not be allowed on the day.

We understand that travel plans change, especially if you are travelling from overseas or are relying on the help of friends and family to help move you in. If this happens to you after you have already booked your timeslot, or you need to arrive outside of the available timeslots, then please let us know by getting in touch through the Student Living Helpdesk.

2. Where do I collect my keys from?

Once you’ve arrived at your accommodation, it’s time to check in. Your student ID card is your room key. If you have yours, you can go straight to your room and start moving in. 

3. What do I do if I don’t have my student ID card?

If you don’t have your student ID card yet, don’t worry. You will need to collect a temporary access card from the Chamberlain temporary arrivals reception (B15 3AS). This is open from 11.30am – 10pm on Friday 18 September, then will remain open from 7am – 10pm on Saturday 19 September – Sunday 20 September.

If you arrive outside of these times, please visit our 24-hour reception at Shackleton (B15 3SX). Remember to bring your photo ID with you. 

4. How to get your permanent student ID card?

UK students without a permanent student ID card can drop-in to the Welcome Registration Hub (marquee next to Main Library). You do not need an appointment. Remember to bring your photo ID with you.  

New international students who require a visa to study in the UK must complete a simple Right to Study check. You will start the process online, using  My Right to Study, and complete the process at an in-person appointment in the Welcome Registration Hub (marquee next to Main Library). Appointments are available from Friday 18 – Sunday 20 September and Monday 28 September – Friday 2 October. Once you have completed your Right to Study check, you will receive your student ID card.  

Ashcroft Townhouses (Pritchatts Park Village)

You can move into your new room at Ashcroft Town Houses (Pritchatts Park Village) from Saturday 19 September 2026, depending on the time slot booked.

4. How to get your permanent student ID card?

UK students without a permanent student ID card can drop-in to the Welcome Registration Hub (marquee next to Main Library). You do not need an appointment. Remember to bring your photo ID with you.

Once you’ve arrived at your accommodation, it’s time to check in. You can collect your keys from the Maple Bank temporary arrivals reception, located at the Maple Bank Laundrette (B15 3TE). This will be open between 11.30am – 6pm, Friday 18 September and 7am - 10pm on Saturday 19 and Sunday 20 September.

If you arrive outside of these times, please visit our 24-hour reception at Shackleton (B15 3SX). Remember to bring your photo ID with you. 

3. What do I do if I don’t have my student ID card?

If you don’t have your student ID card yet, don’t worry. You do not need this to access to your accommodation. However, you will need your ID card for accessing other areas across the village and campus.

If you are travelling to your accommodation by car, you’ll be directed to a short-stay parking space when you arrive. You will have 30 minutes (your booked timeslot) to unpack your bags with help from our friendly Resident Life and Welcome Teams.  You will then be directed to park in a long-stay carpark elsewhere on campus, depending on where you have moved into. Shuttle buses will be running to take visitors between car parks and accommodation villages (details to be confirmed on the day). Please note, you are only permitted to register one vehicle and therefore, additional vehicles will not be allowed on the day.

What's next?

1. Complete your online inventory and report any issues

Once you have settled into your room, we ask that you complete your online inventory via the Accommodation Portal as soon as possible. This will allow us to address any issues you have promptly.

Sometimes things go wrong - If you notice something which needs repair e.g. a leaky tap or faulty oven, then it is easy to log a maintenance call on the Accommodation Portal by navigating to the ‘Your room’ tab. Alternatively, you can contact reception as soon as you notice something needs fixing.

2. Everything you need to know about living in your new accommodation

There is a lot of information to take in before you arrive and once you have moved in. To make things easier, visit Settling into your new home where you will find information about how to do your laundry, contents insurance, accessing Wi-Fi and loads more!

You will also find important information here about fire safety, reporting maintenance issues, paying your fees and our commitment to you through adherence to the Student Accommodation Code.

For specific information relating to you and your accommodation, such as checking your UoB Food Wallet budget, how to turn on the heating or use the oven/hob in your flat by visiting your Accommodation Portal. Look out for posters in your flat which will also provide this information.

3. More than just a room and supporting you

Your accommodation is so much more than a place to rest your head. It’s a place for you to meet new people, try new things, and get as much from student life as possible. Find out about the free events here which take place in your accommodation every week, delivered by our dedicated Active Residences Activators and Residence Life Assistants. As well as the exciting events, you also can access peer support and advice within your accommodation.

Your wellbeing whilst living with us is extremely important and we want you to know how to stay safe and access support both in your accommodation and across campus. There is a wealth of support and advice available to you here at Birmingham.

4. Find your people and explore Welcome Week events

During Arrivals weekend and beyond, there will be a variety of events taking place within your accommodation, which is great chance for you to get to know your flatmates and make friends.

One event to look out for is the Halls Pizza Party, taking place in your accommodation residence during Arrivals weekend. It's a great opportunity to meet your new flatmates, get to know your Guild Residence Life team, and start building your new community.

Welcome week is a great opportunity for you to explore what the wider University and Guild of Students has to offer. This is a great way of meeting other likeminded people. To find out what activities and events are happening, visit What's on during Welcome and the Guild of Students

Please be aware of unofficial group chats on WhatsApp, Snapchat and other social media set up for 'University of Birmingham freshers' or accommodation sites, even if they describe themselves as 'official'. Many of these groups are set up by club promoters and others who wish to sell to you, and may include people who are not joining UoB.

5. Register with a GP and getting vaccinated

As you’ll be spending a lot of time in Birmingham, we recommend registering with a local GP (General Practitioner – Doctor).  Student Hannah explains why it’s important to do this, so you can access healthcare whenever you need it.

There are plenty of GP surgeries close to campus and Selly Oak, including the University Medical Practice. Find your nearest through the NHS website. 

New students are considered to be particularly at risk of meningitis and septicaemia (also called sepsis or blood poisoning). We therefore encourage you to check that your  MMR (Measles, Mumps and Rubella  and  MenACWY vaccinations are up to date. You can do this by contacting your doctor. 

If you haven’t received either vaccine, we strongly recommend that you get vaccinated a few weeks before you arrive on campus. 

During Arrival Weekend and Welcome Week – Saturday 19 to Friday 25 September – there will be MenB vaccination walk-ins available on campus next to the Student Community Hub marquee (near the Joseph Chamberlain Clocktower).

Whether you need your first or second dose, we’d like to understand how many students are planning to attend so we can ensure enough vaccines are available. Please tell us you’re planning to attend a vaccine walk-in during Welcome.

If you’re an international student, you can request to be vaccinated as soon as you’ve registered with a GP in the UK.
